If there is one technology I believe needs a significant boost in productivity using AI, it’s our inbox. Not a day goes by without someone asking me: Did you get my email? Even worse, my inbox is full of people repeatedly checking with me on an email… resulting in more emails.

  • The average email user receives 147 messages every day.
  • Individuals spend more than 2.5 hours daily managing their emails.
  • On average, 71 emails are deleted daily, which takes under 5 minutes.
  • About 12 messages received daily require substantial work, almost 90 minutes.

Despite the proliferation of instant messaging apps and social media platforms, emails continue to flood our inboxes, shaping our daily routines and work habits. Let’s delve into current email behaviors and strategies to manage our digital correspondence more effectively. Email is critical and remains a cornerstone for personal and professional interactions… it needs to be fixed.

Personally, I wish that our inbox had the intelligence to differentiate contacts from unknowns, email sources we communicate with heavily from those we do not, recognize email threads that are real where we’ve interacted, organizing our inboxes with intelligent folders according to our email habits and actions we need to take, and automatically adding tasks with prioritization. This shouldn’t be too difficult, given today’s AI technology!

When it comes to managing emails, users adopt different strategies:

  • Sending emails later: Users appear to be significantly faster at writing these emails than others, possibly due to their non-immediate nature.
  • Archiving is a common practice. A quarter of all messages are filed away for future reference, taking about 3.7 seconds per email.
  • Deleting unwanted emails quickly taking under 3 seconds to remove each email.

Optimal Timing for Email Engagement

Email usage patterns reveal distinct preferences for sending and receiving messages:

  • Most recommended email times vary, with peaks typically in the morning.
  • There is a discrepancy between when people think others will read their emails and when they send them.
  • Effective email communication can be enhanced by sending non-marketing emails before work or during lunch, aligning with recipients’ reading habits.
